Document Submission Notice

This notice explains how to send documents to Assista Customs Brokerage, what to expect from that process, and its limitations. It should be read alongside our Privacy Notice, which covers how your information is handled more broadly.

When to send documents

Send documents once Assista has confirmed what's needed for your request — typically after an initial enquiry, quotation request, or conversation with our team. Sending documents before we've confirmed what's required can mean sending things we don't need, or missing something we do.

Current submission channels

At this time, documents can be sent to Assista by:

  • WhatsApp
  • Email

These are the only channels currently available. Neither is a dedicated secure upload facility — see Risks and limitations below. If a formal secure upload system becomes available in the future, this notice will be updated to reflect it.

Documents we may ask for

Depending on your request, Assista may ask for items such as:

  • Commercial invoice
  • Bill of lading or air waybill
  • Packing list
  • Permits or licenses relevant to your goods
  • Identification
  • Vehicle title or purchase agreement, for vehicle imports
  • Other supporting documents specific to your shipment

We'll tell you what's actually needed for your situation — this list is illustrative, not a standard checklist to send all at once.

Please avoid sending unnecessary sensitive information

Send only what's relevant to your request. Avoid including full financial account numbers, unrelated personal records, or other sensitive information that isn't needed for the service you've requested.

Accuracy is your responsibility

Assista reviews the documents you provide, but you are responsible for the accuracy and completeness of what you send. Incomplete, unclear, or inaccurate documents can delay your request or affect the accuracy of any estimate or guidance provided.

File format and image quality

Where possible:

  • Send clear, complete, and legible copies or photos — avoid cropped, blurry, or partial images.
  • Common formats (PDF, JPG, PNG) are generally fine; if a specific format is required, we'll let you know.
  • Multi-page documents should be sent as complete sets where possible, not single unrelated pages.

Documents that can't be read clearly may need to be resent, which can delay your request.

Risks and limitations of WhatsApp and email

WhatsApp and email are convenient, but they are ordinary consumer communication channels, not a dedicated secure document facility. They are not guaranteed to be instantaneous, immune to third-party interception in all circumstances, or monitored continuously outside business hours. Use ordinary care when sending sensitive documents through these channels.

What happens after we receive your documents

Once received, Assista reviews the documents against your request, identifies anything missing or unclear, and follows up with next steps. Review timing depends on the complexity of your request and the completeness of what was sent.

Sending documents doesn't create an engagement

Sending documents to Assista, on its own, does not create a client engagement or a broker-client relationship. An engagement begins only once Assista has confirmed the applicable service and, where relevant, you have approved a quotation — consistent with our Privacy Notice.

Retention and sharing

Documents you send are handled under the same terms as our Privacy Notice: kept only as long as reasonably necessary for your request, required business and customs records, or legal obligations, and shared only where necessary — for example, with Bahamas Customs or other parties required for your service. Urgent, original, or unusually sensitive documents

If your situation involves an urgent deadline, an original physical document, or information more sensitive than the categories above, don't rely on WhatsApp or email alone — contact Assista first so we can confirm the right way to handle it. In some cases this may mean alternative arrangements rather than a digital channel.
