Assista Customs Brokerage ("Assista," "we," "us") provides this notice to explain how we handle information you share with us through our website, WhatsApp, email, and telephone.

Who is responsible for your information

Assista Customs Brokerage is the data controller responsible for deciding how and why the personal information described in this notice is processed. You can reach us at hello@assistacb.com or (242) 395-2400.

What information we collect

Depending on how you contact us, we may collect:

  • Contact information you provide — name, email, telephone number, and business name if applicable.
  • Shipment information — details about what you're importing, its value, origin, and shipping method.
  • Documents you choose to send us — such as invoices, bills of lading, air waybills, packing lists, permits, or identification, when you send them to support a request.
  • Basic technical information from your use of the website. If website analytics or similar tools are enabled, limited technical information — such as pages visited — may be collected to help us understand and improve the site.

We do not require an account or login to contact us or request an estimate.

Why we collect it

We use personal information only for the purposes described in this notice, related operational and recordkeeping purposes, and any purpose required or permitted by law — including to respond to your enquiry, prepare estimates or quotations, identify what additional information is needed, and communicate with you about your request.

We do not sell client information.

Who may receive your information

Providing customs brokerage services sometimes requires sharing relevant information with:

  • Bahamas Customs and other competent government authorities;
  • shipping, freight, warehouse, or logistics parties where necessary for your service;
  • technology and communication providers we use to operate email, WhatsApp, our website, and file storage;
  • professional advisers or law-enforcement authorities where legally required.

We share only what's necessary for these purposes.

Where your information may be processed

Assista uses established service providers for email, messaging, website hosting, and file storage. Some of these providers may process or store information outside The Bahamas.

How long we keep it

Assista keeps personal information only for as long as reasonably necessary to respond to a request, provide the relevant service, maintain required business and customs records, resolve disputes, and comply with legal or regulatory obligations. Retention periods may vary according to the nature of the request or engagement.

How to submit sensitive documents

At present, documents can be sent to Assista by WhatsApp or email. Please avoid including information unrelated to your request. If a more formal secure upload facility becomes available, this notice will be updated to reflect it, and this page will state which channels are considered secure at that time.

Limitations of website and WhatsApp communications

Website forms, WhatsApp, and email are convenient but are not guaranteed to be instantaneous, private from third-party interception in all circumstances, or monitored continuously outside business hours. Please avoid sending highly sensitive information (such as full financial account numbers) through these channels unless Assista has specifically requested it for a confirmed engagement.

Estimates are not final assessments

Any duty estimate, calculator result, or preliminary figure provided by Assista — automated or from a team member — is for planning purposes only. It is not a final tariff classification, customs declaration, or assessment by Bahamas Customs. Final duties and taxes are determined by Bahamas Customs at the time of clearance.

When a professional engagement begins

Submitting a form, message, or document to Assista does not, by itself, create a client engagement or a broker-client relationship. An engagement begins only once Assista has confirmed the applicable service and, where relevant, you have approved a quotation.

What Assista can and cannot guarantee

Assista provides professional guidance and brokerage services reviewed by a licensed customs broker where applicable. Assista cannot guarantee a particular customs outcome, clearance time, duty amount, or exemption, as these are determined by Bahamas Customs and applicable law, not by Assista.

Your rights

You may contact Assista to:

  • request access to personal information we hold about you;
  • ask for inaccurate information to be corrected;
  • raise a concern about how your information is being used;
  • ask whether personal information can be deleted where Assista is no longer required or permitted to retain it.
